The short answer

Fireflies captures the call. Fireflies already did the hard part

If Fireflies sat in on your discovery call, the raw material for your proposal already exists. Every pain the buyer named, every deadline they let slip, the budget they said out loud at minute 26 — it's all in the transcript, labeled by speaker. The problem is the gap between "transcript exists" and "client-ready proposal in their inbox." Most consultants cross that gap by hand. Here's what that looks like — and the two faster ways.

The manual way today

The honest version of the workflow most people run:

  1. Get the text out. Download the transcript from Fireflies — PDF, DOCX, SRT, CSV, JSON, or Markdown, with optional timestamps and speaker labels (downloads require a Pro plan or higher)¹ — or copy it from the notebook.
  2. Prompt a chatbot. Paste it into ChatGPT or Claude and ask for a proposal. You'll get competent prose with generic structure, no rate card, and the occasional confidently invented number you have to catch yourself.
  3. Reformat and rebrand. Move the text into Word or Google Docs. Fix headings. Re-add your logo, fonts, boilerplate, and pricing table. Proofread everything against your memory of the call.

The Zapier way

Fireflies connects to Zapier and similar automation tools, so you can build a pipeline: when a transcript is ready, send it to an AI step, drop the output into a Google Doc.

Pros: it fires automatically, it's cheap, and it removes the copy-paste. If you enjoy building automations, it's a satisfying afternoon.

Cons: the output is still generic AI text. There's no template enforcement, so branding is whatever the doc had. There's no pricing logic — the model may use the number from the call, round it, or invent one, and nothing tells you which happened. And once the doc is sent as an attachment, you're blind: no opens, no accept, no signal on when to follow up. You've automated the draft, not the deal.

The woven way

Does Fireflies have its own proposal generator?

It's a solid way to get a first block of proposal text inside Fireflies. Do I need to export my transcript from Fireflies first?

No. Artiweave pulls the transcript straight from Fireflies once connected. If you'd rather not connect, pasting the transcript text works too, and .vtt uploads cover calls recorded anywhere else. If you do want files out of Fireflies for your own records, it exports PDF, DOCX, SRT, CSV, JSON, and Markdown on Pro plans and above¹.

What if the budget was never said on the call?

Then it won't appear as a confident number in your proposal. Artiweave only writes claims it can trace to the transcript. Anything material that wasn't discussed — budget, start date, scope boundary — is flagged for you to confirm or fill from your rate card before sending. Flag, don't fabricate.

What happens after I hit send?

Your buyer gets a single unguessable link — no login, an Accept button on the page. You're notified on open, on watch, and on accept, so you follow up on signal instead of superstition. Links expire or revoke whenever you choose, and you can export a PDF for buyers who want one.
