The short answer

Notion AI Meeting Notes captures the conversation — full transcript included, not just the summary¹. Artiweave reads that transcript directly, extracts pains, goals, scope, and every number said out loud, and drafts a proposal on your template. Anything the meeting didn't cover is flagged for you, never silently filled in. You review, then send one tracked link with an Accept button.

The transcript is the asset — not the summary

Notion's AI Meeting Notes (currently in beta, on Business and Enterprise plans) records through your mic and system audio — no bot joins the call — and produces both an instant summary and a complete transcript, with speaker labels on desktop¹². The summary is great for your team. But a proposal is built from specifics: the exact budget the buyer named, the deadline they mentioned in passing, the two regions they want covered. Those live in the transcript turns, and that's what Artiweave reads.

The manual way today

Here's the workflow most consultants actually run after a good discovery call lands in Notion:

  1. Copy the transcript. Open the meeting notes page, expand the transcript, and select-all — or export the page and clean it up.
  2. Prompt a chatbot. Paste it into ChatGPT and ask for a proposal. You get plausible prose with a generic skeleton — and you now have to fact-check every figure against the call yourself, because nothing links a claim back to a line in the transcript.
  3. Reformat and rebrand. Move it into your Google Docs or Word template. Restore your headings, logo, fonts, pricing table, and boilerplate. Proofread the whole thing again.

Budget one to three hours per proposal. Meanwhile the deal is cooling — the economics of that delay are laid out in our sales-call-to-proposal guide.

The automation way

The DIY route: wire Notion to an automation tool or use Notion AI itself to draft proposal text inside the meeting page.

Pros: Notion AI is right there — you can ask it to draft a proposal section directly in your workspace, with no exporting. Automation platforms can watch a database and push new pages into an AI step.

Cons: the output is a Notion page, not a client-ready document. There's no enforcement of your template or brand, no rate card, and no guarantee a price in the draft was actually said on the call. Meeting transcripts live inside the notes page rather than as a clean structured feed, which makes reliable DIY pipelines fiddly. And a shared Notion page or exported PDF tells you nothing after you send it: no opens, no watch-time, no accept.

The woven way

Artiweave treats your Notion transcript as the single source of truth and builds the whole send-ready package from it:

  1. Pull the meeting. Connect Notion Meeting Notes and pick the call — or paste the transcript, or upload a .vtt if the recording lives elsewhere (Fireflies users: there's a direct pull for you too). Artiweave reads the turns and extracts pains, goals, scope, and every number said out loud.
  2. Get the draft. Under two minutes later: a complete, priced proposal on your own template — logo, fonts, voice, and rate card applied. Every substantive claim traces back to the transcript. Anything the meeting didn't cover is flagged for your decision, never quietly invented.
  3. Add the walkthrough. One click turns the approved proposal into a narrated video overview. You approve the script before anything renders; rendering runs in the background while the text proposal is already send-ready.
  4. Send and track. One unguessable link, no buyer login, an Accept button on the page. You see opens, watch-time, and acceptance live. Links expire or revoke on your schedule, PDF export is built in, and activity can log out to HubSpot against the deal — see HubSpot proposal automation.

Notion → proposal FAQ

Which Notion plans include AI Meeting Notes?

As of mid-2026, AI Meeting Notes is in beta and available on Notion's Business and Enterprise plans¹. It records through your microphone and system audio in the desktop app — no bot joins the meeting — and supports transcription in 15 languages, with speaker labels currently English-only¹.

Can't Notion AI just write the proposal for me?

It can draft proposal-shaped text inside a Notion page, and for an internal outline that may be enough. What it doesn't do is produce a client-ready document: your template and brand aren't enforced, prices aren't tied to your rate card or traced to the transcript, and there's no tracked link, Accept button, or video walkthrough. Artiweave's job is that last mile.

Should Artiweave read the AI summary or the full transcript?

The transcript. Summaries compress — and the first things compression drops are the specifics a proposal is made of: exact figures, hedges, sequencing. Notion keeps the full transcript with the meeting notes¹, and that's what Artiweave reads, so every claim in your draft can be traced to a real moment in the conversation.

Does this replace my Notion meeting notes?

No. Notion stays your system of record — notes, summaries, action items, all of it. Artiweave reads the finished transcript and handles what happens next: the priced, on-brand proposal, the narrated walkthrough, and the tracked send.
